After setting up an email domain, use the Mailbox Control Panel to create mailboxes, add aliases, create group lists, and configure your spam filters.
To access the Mailbox Control Panel from the Speedyrails Manager, click Manage Mailboxes from the drop-down menu.
Mailboxes
In order for a user to have an email address on your domain, you must create a mailbox for them. The mailbox name is the name of the email address for your email domain (e.g. mailbox@yourdomain.com).
To add a new mailbox:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Mailboxes.
- Select a Domain.
- Click Add Mailbox.
- Fill in the User Details.
- Click Save.
Users are not automatically sent their password after you create their mailbox. They must have one assigned by an administrator, sent to them, and then the user can change their password to ensure their account password is private.
Aliases
Alias email addresses automatically forward messages to selected email addresses. An alias is typically used to create an ad hoc grouping of email addresses outside of a formal group list, or used to forward email to an email address either on your domain or a domain hosted elsewhere. Aliases are a customized point of contact to reach the selected email addresses.
To add a new alias:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Aliases.
- Click Add Alias.
- Fill in the Alias Name. This is the email address created by this alias (e.g. alias@yourdomain.com).
- Select any mailboxes you want the alias to point to, then click Add to add them to the alias.
- Click Save.
Group Lists
Group lists are announcements or group discussion mailboxes that distribute to more than one member of your domain. Group lists typically focus around a common topic identified by a subject tag. Unlike Aliases, group lists can support up to 250 recipients outside of the domain, providing more functionality than alias addresses.
To create a group list:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Group Lists.
- Click Add Group List.
- Fill in the list's Email Address.
- Fill in the list's Subject Tag (e.g. [Announcements], [Feature Update], [Misc.]).
- Select the List Type:
- Replies to Announcement Lists go to the sender.
- Replies to Group Discussion lists go to the entire group.
- Select the Recipients.
- Select the Authorized Senders.
- Click Save.
After creating a group list, it will automatically populate with more mailboxes depending on your recipients preferences. If you send group email to specific mailboxes or aliases, you must manually add new users to the group list.
Spam Filters
Spam Filters allow you to blacklist or safelist email addresses, domains, or IPs to make sure your users are able to receive email from senders, and not receive spam emails which could be harmful. Learn More →
Settings
The Settings menu contains advanced settings for mailboxes, including Folder Cleanup, Storage Notifications, and Webmail access.
Folder Cleanup
All mailbox folders have a set storage limit, and allow you to set mailboxes to automatically empty selected folders to conserve space.
To configure folder cleanup:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Settings.
- Click Folder Cleanup.
- Select which folders are to be automatically cleaned up.
- Select to either remove messages over a certain age or number of messages.
- Set your cleanup rules:
- Save your preferences and apply them to users without their own custom cleanup rules.
- Override preferences to force all mailboxes to use your preferences, regardless of previous customization.

Global Access defines which protocols and services can access mailboxes on a domain specific level. Learn More →
Storage Notification
The Storage Notification settings allow you to enable a customized email notification to a user when their mailbox is at a certain percentage of its capacity. This allows users to know when their mailbox is almost full, and that they need to remove some messages.
To set a Storage Notification for all mailboxes:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Settings.
- Click Storage Notification.
- Select Activate full mailbox notification.
- Choose a mailbox capacity percentage.
- Fill in the CC email address field if desired.
- Set a customized notification message if desired.
- Click Save.
Webmail Settings
The Webmail Settings screen allows you to set which features to enable in your Webmail portal.
Admin-only Settings
The Admin-only settings allow you to configure add-on features for your Webmail users. You can select to Enable or Disable:
- Chat - Allow users to chat with each other.
- Dropbox - Allow users to share files with each other.
- SMS Password Recovery - Users can enter their mobile phone number and receive an SMS message to allow them to recover their login password.
User Defaults
The User Defaults settings allow you to set the default language, time, and date for your users' Webmail interface.
- Language - Use the drop-down menu to select the default user language.
- Date Format - Use the drop-down menu to select between mm/dd/yy and dd/mm/yy format.
- Time Format - Use the drop-down menu to select 12 Hour or 24 Hour time.
- Time Zone - Use the drop-down menu to select the displayed time zone.
Once you have configured your Webmail settings, click Save to apply them.
Company Directory
Company directories allow you to provide your users with a listing of all users with mailboxes associated with your domain. Directories can also include recipients from outside your domain.
To create a new directory:
- From the Speedyrails Manager, click Manage Mailboxes to open the Control Panel.
- Click Email Hosting.
- Click Company Directory.
- Click Add Directory.
- Fill in the Company Directory Name field.
- Choose whether to Allow users to edit their profile.
- Add domains to your directory:
- You can use the alphabetical Filter or Search to find your directory.
- Select which domains you want to add in the left column and click Add.
- Click Save.
To edit directory members:
- From the Company Directory menu, click the directory name.
- Click Add/Remove Members.
- Add or remove members from your directory:
- You can use the alphabetical Filter or Search to find a member.
- Select which domain you want to add or remove and click Add or Remove.
- You can also Add Members outside this Domain and use Edit Contact Info to customize their listing.
- Click Save.
To export a directory:
- From the Company Directory menu, click Export in line with the directory you want to export.
- Use the drop-down menu to select an export format.
- Click Export.
